Google Analytics 4 for small businesses: track enquiries, calls and WhatsApp clicks

Most small business websites have Google Analytics installed. Far fewer can answer the question that matters: how many enquiries did the website bring last month, and from where? The default setup counts visits. A visit doesn’t pay the bills. An enquiry, a WhatsApp message or a call might.

The short answer: decide which actions count as enquiries, track each of them as an event, mark them as key events, tag the links you share so you know where people came from, and check the numbers monthly against what actually reached you.

1. Decide what counts as an enquiry

Before touching any settings, list the actions that start a conversation with a customer:

Action Typical event to track
Contact or quote form sent A visit to your thank-you page, or the form’s submit event
WhatsApp button tapped A click on a WhatsApp chat link
Phone number tapped A click on a phone link
Booking made The booking tool’s confirmation
Email link clicked A click on an email link

Three to five actions are enough. Tracking everything makes the reports harder to read, not more useful.

2. Check that enhanced measurement is on

GA4 can record common actions without any code. With enhanced measurement on, it collects page views, scrolls, outbound clicks, site search, video engagement on YouTube embeds, file downloads and form interactions.

The one that matters most in the UAE is outbound clicks: GA4 records a click event each time someone follows a link that leads away from your domain to another website. A WhatsApp chat link goes to another website, so those taps are already being counted. They’re just mixed in with every other outbound link.

Phone links aren’t covered by that description, so ask your developer (or use Google Tag Manager) to send an event when someone taps your number.

3. Turn raw clicks into named events

GA4 lets you create a new event from an existing one, without code. In Admin, under Data display, open Events and choose Create event. Two useful examples:

  • WhatsApp clicks: a new event, say whatsapp_click, created when the event name is click and the link URL contains your WhatsApp link.
  • Form enquiries: a new event, say enquiry, created when the event name is page_view and the page location contains your thank-you page’s address. This is often more reliable than the form’s own submit event, because it only fires once the form has actually gone through.

New events only apply from the moment you create them, and changes can take an hour or more to show.

4. Mark them as key events

A key event is GA4’s name for an action that matters to your business. Mark each enquiry event as a key event with the star in Admin, under Data display, Events. Once marked, your reports show key events by page, by source and by campaign, which is the view you actually need.

GA4 can only tell where visitors came from if the link tells it. Add UTM parameters to every link you share: your Instagram and LinkedIn bios, emails, WhatsApp broadcasts, QR codes and your Google Business Profile website link. Google recommends always using all three of utm_source, utm_medium and utm_campaign; leave one out and that part shows as “(not set)”.

A simple, consistent naming scheme saves confusion later:

Link utm_source utm_medium utm_campaign
Instagram bio instagram social bio
Monthly email newsletter email october_offer
Google Business Profile google organic gbp
QR code on a flyer flyer print white_friday

6. Two settings worth changing today

  • Data retention. Standard properties can keep event data for 2 or 14 months. It only affects explorations and funnel reports, but choose 14 months so you can compare a season with the same season last year.
  • Links to Google Ads and Search Console. Linking Google Ads lets you create Ads conversions from your key events and build remarketing audiences. Linking Search Console adds reports showing the Google searches and landing pages that bring organic visitors.

What to look at each month

Question Where to find it
How many enquiries did the website bring? Key events, month on month
Which channels bring enquiries, not just visits? Key events by session source and medium
Which pages start the most enquiries? Key events by landing page
Which Google searches find us? The Search Console reports, once linked
Did a campaign work? Key events filtered by its utm_campaign

Then check the numbers against reality. If GA4 says 40 enquiries and your inbox and WhatsApp show 25, something is double-counting. If it says 10 and you received 25, some enquiries aren’t tracked yet.

Common mistakes

  • Judging the website on visits instead of key events.
  • Untagged links, so social and email visits disappear into “direct” traffic.
  • Counting form starts as enquiries. Someone who opens a form hasn’t sent it.
  • Never checking against real enquiries, so a broken form or tag goes unnoticed for months.
  • No record of changes. Note when you launch campaigns or change the website, so you can explain jumps and drops later.

If the numbers show plenty of visits but few key events, the problem is usually on the page itself; see why websites get visitors but no enquiries. If WhatsApp is your main channel, our WhatsApp marketing guide covers replies, consent and follow-ups.

Where our experience comes from

Measurement is where our performance marketing work starts: before we change a campaign, we make sure every enquiry can be traced back to where it came from. Ads can only be judged on profit when enquiries and sales are counted properly, as in the work that took Impossible Foods from losing money on ads to a consistent 3.5× return on ad spend.

The short version

Pick the three to five actions that start a conversation with a customer. Track each one as an event, mark them as key events, tag every link you share, set data retention to 14 months, and link Google Ads and Search Console. Then compare GA4 with the enquiries you actually received, every month. If you’d like help setting it up, book a free call.

Quick answers

What is a key event in Google Analytics 4?

A key event is an action that matters to your business, such as a form enquiry, a WhatsApp click or a booking. You mark an event as a key event in Admin, under Data display, Events. Marking only applies from that point on, so set it up before you need the numbers.

Can GA4 track clicks on a WhatsApp button?

Yes. With enhanced measurement on, GA4 records a click event when someone follows a link to another website, which includes WhatsApp chat links. You can then create a separate event for WhatsApp clicks only and mark it as a key event.

How do I see which marketing brings enquiries?

Tag the links you control (social bios, emails, your Google Business Profile, ads) with UTM parameters, mark your enquiry events as key events, then compare key events by source and medium in the acquisition reports.

How long does GA4 keep my data?

For standard properties, event data can be kept for 2 or 14 months. The setting only affects explorations and funnel reports, not the standard reports, but choose 14 months so you can compare this year with last year.
