08 / Email, CRM & WhatsApp automation
Follow up on time, every time.
Most businesses lose more customers after the first enquiry than before it. We set up the emails, reminders and WhatsApp journeys that keep people moving, without losing the personal touch.

“Three enquiries on WhatsApp, two on Instagram… and I forgot to reply to half of them.”
The problem
Enquiries arrive. Some get forgotten.
An enquiry comes in on Instagram, another on WhatsApp, a third by email. Someone means to reply, gets busy, and by the time they do the customer has booked elsewhere. Past customers who loved you never hear from you again.
Good systems fix that quietly: every enquiry captured in one place, an instant acknowledgement, a reminder to follow up, a welcome series for new customers and a reason for past ones to come back. Automation does the routine; your team does the conversations.
How it works
Automated where speed matters. Human where it counts.

A good fit
Enquiries come from everywhere
WhatsApp, Instagram, calls and forms in one place means nobody falls through the cracks.
You rely on repeat customers
A reminder or a welcome-back message at the right time brings customers back without discounts.
Your team spends hours on routine replies
Automating the routine frees people for the conversations that need a human.
Probably not the right fit, yet
You get a handful of enquiries a month
A shared inbox and good habits may be all you need. We’ll say so.
You want to automate every conversation
Customers can tell. We automate speed and reminders, and keep people where judgement matters.
Nobody will use the CRM
A system only works if the team uses it. We keep it simple and train people, but someone has to own it.
Not sure which side you’re on? Ask us. If we’re not the right fit, we’ll tell you who or what might be.

Questions
Frequently asked.
The questions business owners ask us most about email, CRM & WhatsApp automation, answered plainly.
Still have a question?
Message us. We usually reply within 10 minutes.
Ask on WhatsApp (opens in a new tab)Which CRM do you recommend?
The simplest one your team will use every day. We’ve worked with tools such as HubSpot, Zoho, Mailchimp and ActiveCampaign, and with custom systems like Game Wagon’s, and we recommend based on your size, budget and channels.
Can WhatsApp messages be automated?
Yes, within WhatsApp’s rules. Through the WhatsApp Business Platform you can send instant replies, route enquiries and use approved templates for reminders and updates. Customers need to opt in to receive marketing messages.
What is the difference between the WhatsApp Business app and the API?
The free app suits a small team replying by hand. The WhatsApp Business Platform (the API) adds automation, several team members, integrations with your CRM and approved message templates. We help you choose and set it up.
Will automation make us sound robotic?
Not if it is done well. We write messages in your voice, keep them useful and short, and hand real conversations to a person.
We already have a mailing list. Where do we start?
Usually with a welcome series and a simple regular email that gives people a reason to come back. We’ll review your list and past results first.
Can you connect our website, store and booking tool to the CRM?
Yes. Integrations are often the most valuable part: every form, order and booking lands in one place without copying and pasting.
Is our customer data safe?
We set up access so only the right people see the right data, use the security features of each tool and keep your data in accounts your business owns.
How long does a CRM setup take?
A focused setup with your main enquiry channels usually takes two to four weeks, including testing and training. More complex journeys and integrations are added in stages.
What should we automate first?
The moments where speed matters most: an instant reply to new enquiries, a reminder before appointments or deliveries, and a follow-up after a sale.
How do you measure the results?
Reply times, how many enquiries turn into customers, repeat purchases and the revenue from email and WhatsApp journeys, in a simple monthly report.
